MAHE Hostel Move-Out Rules: Vacating, the Luggage Room and Leaving Things Behind

Moving out of a MAHE hostel at the end of the year is mostly about timing and paperwork. Here’s what the published rules say, what the luggage room is for, and what happens if you leave things behind.

The rules quoted below are from MAHE’s published rules for the Engineering, FOA, Management, SOC and DOC hostels on the MIT campus. Health-science hostels (KMC and others) have their own rule book, so check yours.

1. Vacating dates come by notice, not by a fixed calendar

There’s no single published move-out date. Rooms are allotted “for a limited period of up to one year or less”, and vacating dates are announced on the hostel notice board. The rules say notices put up there are binding on residents, so check the board (and your hostel WhatsApp group) as end-sems approach.

End-semester exams usually finish in late November or early December, and in late April to mid-May. Plan your packing for the days right after your last exam, when everyone else is doing the same.

2. Clear your dues before you go

The rules link your room to your dues: a room can be forfeited if dues aren’t cleared. Settle mess, hostel and any damage charges before you leave, and keep the receipts.

3. Leaving the hostel for good needs permission

If you’re moving out permanently (for example, into a flat), the rules require permission from your parents and your Head of Institution, routed through the Caretaker. Once you vacate this way, you can’t be re-allotted a room for 6 months, so be sure before you go.

4. The luggage room: what it’s for

MAHE’s hostel FAQ confirms there’s a provision for leaving heavy luggage in the college luggage room. That makes it useful for a couple of cartons or a suitcase you’ll need when you return.

What the published pages don’t spell out for the Manipal campus is how much you can leave, for how long, or what’s excluded. Ask your caretaker before you pack, and assume space is limited. MAHE’s Bengaluru campus hostel handbook says plainly that its cloakroom facility “is limited”, and students should plan around that.

A few common-sense rules apply wherever you store things:

  • Don’t leave valuables. The hostel rules tell residents not to keep cash or valuables in rooms, and to insure their own laptops. The same caution applies to a shared luggage room.
  • Label everything with your name, registration number, block and phone number.
  • Photograph what you leave, and keep a list.
  • Tape cartons properly. Rooms get damp in the monsoon months.

5. What happens if you don’t vacate in time

This is the rule to take seriously. It reads: “The Chief Warden reserves the right to break open any room which is not vacated, pack up the belongings and store it. No complaints of breakage or loss will be entertained.”

In other words, if you leave your room full and go home, the hostel may pack your things for you, list them and keep them in a store room, with no responsibility for damage. Don’t rely on that as a storage plan.

Your hostel move-out checklist

  1. Check the notice board for vacating dates.

  4. Book a shipping or packing slot early if you need one.
  5. Clear all dues and keep receipts.
  6. Empty the room fully, including under the bed and the cupboard tops.
  7. Hand over keys and get your room checked.
